The post holder will manage the processes and systems that provide an effective and efficient mail delivery system to both staff and prisoners. In doing so, particular attention should be paid to the strict timescales that are essential to the service. The post holder will ensure that all documentation processes are compliant to The Prisons and Young Offenders Institutions (Scotland) Rules 2011 and the policy (GMA 20A/17 1st Amendment) which governs the management of prisoner correspondence.
Responsibilities
Deliver an effective and efficient mail delivery service in accordance to the agreed timescales.
To provide assurance to management that all processes and systems are completed in accordance with The Prisons and Young Offenders Institutions (Scotland) Rules 2011, the Management of Prisoner Correspondence policy (GMA 20A/17 1st Amendment) and appropriate Operational Delivery Systems.
To take ownership and responsibility of your role ensuring that you remain compliant and fully trained in all aspect of the role whilst working in conjunction with the Prisoner Administration Manager to ensure continued services throughout the year.
Maintain and manage an effective and efficient mail delivery system that ensures prisoners and staff requests are met.
Person Specification

Qualifications Requirements
Minimum of 2 standard grades (or equivalent) at grade 3 or above, including English and Maths/Arithmetic or relevant experience (ESSENTIAL).
Experience Requirements
Competent in the use of Microsoft Office Packages including Excel, word, outlook (ESSENTIAL).
Experience with dealing with and managing high volumes of correspondence. (ESSENTIAL).
Knowledge Skills Requirements
Self-motivated and proactive with the ability to prioritise workload (ESSENTIAL).
Ability to work individually and as part of a team and to demonstrate an ability to build and maintain effective working relationship. (ESSENTIAL).
Excellent communication and interpersonal skills. (ESSENTIAL).
An understanding or experience in general administration duties within a busy office setting. (ESSENTIAL).
