The post holder will primarily provide administrative support within the Case Management Team. They will be responsible for administration within Integrated Case Management (ICM) and the Risk Management Team (RMT) and they will also provide generic admin assistance within the Offender Outcomes team.  The post holder will update Prisoner Records and liaise with partner agencies within Criminal justice and Police Scotland.  They will schedule ICM and RMT meetings and attend those meetings to minute the outcomes.  

Responsibilities

Provide administrative support in the assessment ,recording and distribution of the ICM and RMT process in accordance with SPS guidelines and Data Protection Legislation.

Liaise with internal and external partners to ensure effective service delivery.

Maintenance of effective and efficient electronic and paper based filing and data recording systems, including Prisoner Records ensuring compliance with Data Protection Legislation and SPS guideline, and ensuring all minutes are accurately recorded in the Prisons Record System (PR2)

Contribute to the development of an effective ICM/RMT processes through participation in functional and departmental forward planning activities. Seek and continuously develop personal knowledge and understanding of ICM/RMT related issues policies and legislation.

The collation and analysis of related statistics and the subsequent generation of management reports.

Other duties, commensurate with role and level within the organisation, deemed necessary to ensure the continuation of an effective and efficient service, including providing an accurate recording of all links centre appointment requests by telephone or email, and ensure they are booked on the establishments links centre database and Prisons Record System (PR2).

Qualifications Requirements
Minimum of two National 5 (or equivalent) qualifications, including English and Mathematics or Arithmetic or relevant experience gained in a similar role and/or environment.  ESSENTIAL
Experience Requirements
ESSENTIAL: Experience of good communication skills written and verbal, and minute taking experience.
ESSENTIAL: Experience of attention to detail whilst working to deadlines, outlining examples
ESSENTIAL:  Competent and experienced in all aspects of administration including extensive use of an IT based office package and The ability to analyse, interpret and report on a range of information
Knowledge Skills Requirements
ESSENTIAL: Well-developed communication skills at all organisational levels, across a range of media and evidence your knowledge and understanding of the Data Protection Act.
ESSENTIAL: Evidence competency in the use of Microsoft Office packages, especially Excel.
ESSENTIAL: Ability to effectively prioritise workload to meet departmental and organisational deadlines.
DESIRABLE: Ability to use Information and Communication Technologies as effective business tools, Evidence competency in the use of Microsoft Office packages, especially Excel.
