The post holder will be responsible for administrative duties within HMP & YOI Grampian, Peterhead, working within the Finance & Administration Department.
Responsibilities

Carry out an initial check of all warrants produced by the Courts, and that this has been done in accordance with legislative requirements and SPS procedures, and ensure that the SPS has met its obligations with regard to the legal custody of prisoners.

Ensure the effective administration of prisoner Admissions, Transfers, Liberations and Foreign Nationals, of which you will have the responsibility to ensure that accurate information is processed timeously and securely, in accordance with legislative requirements and SPS procedure.


Provide accurate recording of all prisoner transactions and data, inputting on the Prisoner Record System (PR2) ensuring all records take account of changing prisoner circumstances and are compliant with SPS Policies and Audit Processes.
Verify relevant data held on Prisoner Record System (PR2) and communicate information both internally and externally.  Also responding to written enquiries within appropriate timescales, standards and in accordance with the General Data Protection Act.

To multi-task and provide a supporting role throughout the establishment to ensure that deadlines are met.  This will include carrying out any task as directed by your Line Manager, which will include covering and 'acting up' in other duties, such as Parole and Court Desk.

Accurately interpret and validate all warrants and accompanying documentation via paper and SPS Prisoner Record System (PR2).  This will be done after undertaking and successfully pass training in Warrant Sentence Calculation.  This will enable assistance when carrying out the initial checks of all warrants produced by the Courts.

Qualifications Requirements
Minimum of two National 5 (or equivalent) qualifications, including English and Mathematics or Arithmetic or relevant experience gained in a similar role and/or environment.  ESSENTIAL

Experience of attention to detail whilst working to deadlines, outlining examples.  ESSENTIAL

Knowledge Skills Requirements
Evidence your knowledge and understanding of the General Data Protection Act (GDPR).  ESSENTIAL
Evidence competency in the use of Microsoft Office packages, especially Excel.  ESSENTIAL
Evidence ability to work as part of a team, demonstrating a flexible attitude.  ESSENTIAL
Experience of dealing with general correspondence.  DESIRABLE
