The post holder will provide an exceptionally high level secretarial and administrative support to the Head of Financial Policy and Services. Managing and reviewing the administration processes of Financial Policy and Services ensuring that the administrative and support functions enhance the delivery of the business.  In addition the post holder is required to understand and articulate technical financial terminology when assessing papers, preparing and typing documents.
Responsibilities
The Role Holder is responsible for the management and review of Financial Policy and Services’ administrative processes, the Role Holder will be the first point of contact for those required to communicate directly with the Head of Finance Policy and Services.
The Role Holder is responsible for drafting and preparing correspondence and reports for the Head of Financial Policy and Services’ signature in line with his/her views on the subject matter. Preparing papers for consideration by and for presentation to the Chief Executive, Directors, Non-Executive Directors, Senior Management, Scottish Government and external parties such as Auditors and Her Majesty’s Revenue and Customs.
The Role Holder will regularly handle and will be accountable for the safe storage of highly confidential and sensitive staff information including salary information relating to senior management, matters of fraud, performance management, grievances/complaints and gross misconduct issues relating to staff and senior management.
The Role Holder is required to lead on, contribute to or facilitate projects as required by the Head of Financial Policy and Services based on key organisational deliverables.
Interact with both internal and external contacts including and use of judgement to differentiate between; important time sensitive appointments and routine ad hoc appointments.
Role Holder will be required to produce accurate minutes of meetings, understanding and articulating technical financial terminology as required and provide draft notes to the Chair within one week. Accountable for preparing Action Plans and following up to ensure all actions are completed.

Qualifications Requirements
Minimum of 5 Standard Grades (or equivalent) including English and Maths. (Essential)
Experience Requirements
Extensive workplace experience including demonstrable competence in secretarial and administrative tasks (Essential)
Experience in a similar Personal / Executive Assistant role supporting a Chief Executive or Director, and working with senior management teams in a multi-disciplined operational environment. (Essential)
Experience of complex diary management, making travel arrangements and of arranging meetings/visits both internally and externally. (Essential)
Knowledge Skills Requirements
Accurate copy and audio typing. (Desirable)
Possess excellent organisational and communication skills (both oral and written). (Essential)
Ability to manage time, prioritise tasks and work on your own initiative. (Essential)
Have an awareness of statutory financial reports and financial terminology (including Scottish Government and HM Treasury specific terminology). (Desirable)
