General Admin Assistant - This is a temporary role to cover Maternity Leave for up to 10 months

The post holder will ensure the effective administration of the key business processes and provide designated relief cover to Residential, Casework & Mail Admin Assistant roles during periods of leave/absence. The post holder will also be responsible for maintenance of Residential Domestic stock on behalf of establishment.

Provide relief cover for Residential Admin Assistant with requirement to maintain competence in this
role to fulfil this task effectively.
Provide relief cover for Casework Admin Assistant (ICM) & Mail Admin Assistant with requirement
to maintain competence in these roles to fulfil these tasks effectively.
Provide ad hoc assistance to the Casework Manager across the establishment and other team members as and when required, commensurate with role and level within the organisation
Provide secretarial support to meetings in the establishment, both co-ordinating these events and producing quality minute of proceedings.
Carry out administration duties which includes, photocopying, filing, minute taking, dealing with telephone calls and correspondence.
Collation, management and dissemination of associated records in line with SPS, Government and Legislative Data Protection and records management requirements.

Qualifications Requirements

A minimum of 2 Standard Grades at Grade 3 or above (including English and Maths/Arithmetic) or equivalent qualifications or relevant experience.


Experience Requirements

Previous experience of working in an administration environment.


Strong working knowledge of IT and Microsoft Office packages including Excel, Word, Outlook etc.


Knowledge Skills Requirements

Ability to effectively prioritise workload to meet departmental and organisational deadlines.


Excellent communication and inter-personal skills with well-developed verbal and written ability.


Ability to record confidential information accurately and have excellent attention to detail.


Understand the importance of building and maintaining relationships with the ability to work individually and as part of a team.
